Recently I came across an article that has a heading of "Content Management Trends... Growing upward, outward and onward...". The reason cited was that CMS implementation reduces the authoring and design cost considerably. In addition to reducing the cost it improves usability and facilitates faster implementations.

The important question for the technology solution providers is how to identify the most appropriate product or tool or component for a given problem? Out of the end number of products available in the market which one is made for a given business problem? There is no definitive answer but certain guidelines can be set so that selection exercise is headed into the right direction. Following sections talk about some of the high impact parameters that would serve as a good start. The list of the items discusses were gleaned from the real life architecture assessment and solution development exercises and were used for evaluating the competing CMS products against the specific customer needs. Ask these questions; see if it is relevant to the application under consideration and if so how the CMS products being considered address them. At the end of the exercise you will have a fair idea of what any specific CMS product has to offer and the results can be fine tuned through next level of analysis before zeroing down to a product.

A CMS product is a tool and not everyone usages a tool for exactly the same purpose. When there are multiple contenders to choose from, a choice that is strong on the critical business requirements makes more sense. Everyone will use a CMS as a document repository but one may have to deal with a huge volume of data that doesn't changes frequently and approval workflow process whereas the other may not have that big data volume but managing documents will be an everyday activity and that with stringent and complex approval process. Some organization may need to have strong collaboration features where other might not need it. Setting the business objectives very clearly will kick off the evaluation process in the right direction.


Who are going to use the system is pertinent to any application and a CMS is no different. In the case of the CMS though a prime concern is that even the content providers could be counted as users because they need to operate it for managing the contents, their involvement being more than an administrator involved with managing a traditional web application. Often times these users are not technically conversant and a very complicated User Interface (UI) may confuse them. In many cases organizations do have a technical support team assisting the content providers, but if that is not the case proposed CMS must have an easy and intuitive interface. Another aspect that needs to be considered would be the total number of users accessing the system and how many of them would be accessing its simultaneously.


As we have discussed before, a CMS will serve as repository, but next important question would be what is in store for the repository. Apart from the volume of data other points that need attention would be the type documents, their retention period, access levels and so on. The requirement high on repository font should look for the CMS that facilitates easy maintenance of documents libraries and automate the archival process.


Again like repository search is going to be a must have functionality, but not all the scenarios will necessitate similar search capabilities. Questions regarding the scope of search have to be answered before a suitable recommendation can be made. For some cases search means searching the document and library names where as other may need to tag the document with specific metadata and expand the search to that. For the complex scenarios search may include scanning inside the document and the image libraries and creating indexes that can be searched efficiently. Often such complex scenarios will demand implementing a separate search engine apart from the CMS tool. For such cases the recommended CMS and the search engine must be compatible with each other.


CMS products now provide facilities for enhancing their capabilities by not only enhancing their existing features but also adding new ones. Taking it even further transactional pages could be added to the CMS solution. If that is the case, those additional functions should be analyzed and cross checked whether the proposed CMS could meet those needs.


IT is no more about just collecting data and analyzing them, but on second though it is, because it serves as base for the intelligent decision making. Most of the CMS products do have inbuilt analytics but those features could not be sufficient for many cases. There are tools available for Web Analytics and the recommendations should ensure that their compatibility with the CMS.


In the age of Cloud and Federated corporate environments standalone applications are the relics of the past. Most of the times the recommended CMS product has to live within a preexisting environment and befriend its existing components like database, middleware, security systems etc. All this might need not only configuring the CMS solution appropriately but also enhancing the existing features. It is important to take a note of the technology stack and development platform used by the organization and its compatibility with the recommendations.


The world is moving towards smart handheld devices and computing is being mobile centric. Supporting the mobile devices is now a necessity rather a nice to have feature for any product. Other important questions that need to be asked are who are the users- internal to the business, external to the business or both? It is common place to setup federated environments where there the access is not open to the entire world but users from the partner businesses can access. Moreover the type of security required is not the same for all the types of applications. A CMS housing the financial reports for a business will need a different level of security than a technical blog site might need. Apart from that there might be privacy, compliance and government regulations related requirements to be adhered to.


Although a CMS solution might not be integrated or dependent on other systems like most of the business solutions but at the same time they are not supposed to work in isolation either. Just for example it could be very possible that quarterly reports generated by a batch process are uploaded into documents libraries though some automated process or the search results from a documents library are actually displayed in a different web application. In some cases there might be other Document/Content/Web Content Management Systems that can't be discarded and the new CMS must coexist with them. The evaluation process needs to consider all the requirements and see that all the pieces of the puzzle fit together seamlessly. Most of the standard products in the market allow integration through Web Services. The proposed CMS should facilitate service based integration both as a provider and as consumer.


Products need specific infrastructure (including hardware, software, and network environments) for their deployment and that is true for a CMS as well. If the business is already having a data center it should be accessed whether it will support the proposed CMS solution or not. If the infrastructure needs to be upgraded the customer's willingness for the same should be checked. As the organizations are moving towards service-based deployment models (Infrastructure as a Service-IAAS) where a third party provided infrastructure is used for the deployment if the service provided has any limitations it needs to be taken into consideration.


Non Functional Requirements are as important as functional ones and any recommendation needs to give them the due consideration to have it effective. Requirements surrounding performance, usability and maintainability etc. should be matched with the feature provided by the products under evaluation.


Last but not the least, even the best of recommendations doesn't have any significance if it doesn't fits within the financial boundaries set for the project by the customer. Objective of the evaluation exercise shouldn't be to find the best, rather the best for the customer stated requirements at the lowest possible cost.


Apart from licensed CMS products there are a lot many open source CMS products available and some of them are good. Although there is no harm in considering them for the implementation if it fits the customer needs, a few word of caution before zeroing down to them:

Open Source CMS products although don't have any licensing cost their support is a paid service. If your application will undergo frequent changes or the acceptable downtime window is too low it is not a good option.

If a lot of customization is required to fit to the requirements it is often better to look for the alternatives that provide the same functionality as a product feature.

In general if unavailability of the CMS has any significant business impact alternatives should be considered.


As we have seen there are a lot many points to be pondered and considerations to be made before taking the big decision. There could be scenarios where executing a Proof of Concept (POC) becomes inevitable. POC would be the need of the hour if one or more of the following are true:

The requirements are too complex

Usability is a very important aspect

There are heavy integration requirements

The recommended product is new or not widely used

 Choosing a content management system can be tricky. Without a clearly defined set of requirements, you will be seduced by fancy functionality that you will never use. What then should you look for in a CMS?

When looking at a content management system, consider what features you should look for.

When selecting a content management system, without a clearly defined set of requirements, you will be seduced by fancy functionality that you will never use. Before you know it, you'll be buying an enterprise-level system for tens of thousands of dollars when a free blogging tool would have done the job. In order to correctly determine what you need for your site, you need a list of requirements.

How then do you establish your list of requirements? Although your circumstances will vary, here are ten things that are particularly important.

1. Core functionality

When most people think of content management, they think of creating, deleting, editing and organizing pages. They assume all content management systems do this and so take that functionality for granted. However, that is not necessarily the case. Nor is there any guarantee that such functionality will be presented in an intuitive way.

Not all blogging platforms, for example, allow the owner to manage and organize pages in a tree hierarchy. Instead, individual "posts" are automatically organized by such criteria as date and category. In some cases, this is perfectly adequate. In fact, this limitation in functionality keeps the interface simple and easy to understand. However, in other circumstances, the limitation can be frustrating.

Consider carefully the basic functionality you need. Even if you do not require the ability to structure and organize pages now, you may in future. Be wary of any system that does not allow you to complete these core tasks.

Also ask yourself how easy it is to complete these tasks. There are literally thousands of content management systems on the market, the majority of which offer this core functionality. 2. The editor

The editor is one core feature worth particular attention. The majority of content management systems have a WYSIWYG editor. WYSIWYS stands for "What you see is what you get". These editors usually have a similar appearance to Wordpad or Word. Strangely, this editor is often ill-conceived, despite the fact that it is the most used feature within the system.

The editor is the tool through which content is added and edited. Traditionally, it has also allowed the content provider to apply basic formatting, such as font and color. However, developers have recently moved away from this type of editor to something that reflects best practice.

The danger of traditional WYSIWYG editors is two-fold. First, content providers are given too much control over the design. They are able to customize the appearance of a page so much that they undermine the consistency of the design and branding. Secondly, in order to achieve this level of design control, the CMS mixes design and content.

The new generation of editors takes a different approach. Content providers use the editor to mark up headings, lists, links and other elements, without specifying how they should appear.

Ensure your list of requirements includes an editor designed on this principle and that does not give content providers control over the appearance. At the very least, look for content management systems that allow the editor to be replaced with a more appropriate solution.

3. Managing assets

Management of images and files is badly handled in some CMS'. Badly designed systems can frustrate users with poor accessibility and usability. Images in particular can cause problems. Ensure that the content management system you select forces content providers to add attributes to images. You may also want a CMS that provides basic image editing tools, such as cropping, resizing and rotating. However, finding one that does this can be a challenge.

Also, consider how the content management system deals with uploading and attaching PDFs, Word documents and other files. How are they displayed to end users? Can descriptions be attached to the files, and is the search function capable of indexing them?

4. Search

Search is an important aspect of any website. Approximately half of all users start with search when looking for content. However, the search functionality in content management systems is often inadequate.

Here are a few things to look for when assessing search functionality:

Freshness: how often does the search engine index your website? This is especially important if your website changes regularly.

Thoroughness: does it index the entire content of each page? What about attached files, such as PDFs and Word, Excel and PowerPoint documents?

Speed: some search engines can take ages to return results. This is especially common on large websites.

Scope: can you limit the scope of the search function to a particular section of the website or refine search results once returned?

Ranking: how does the search engine determine the ranking of results? Can this be customized by either the website owner or user?

Customization: can you control how results are displayed and customize the design?

The issue of customization, of course, goes far beyond search.

5. Customization

I have had the misfortune of working with content management systems that are completely inflexible in their presentation.

Your content's presentation should not be dictated by technology. It is simply not necessary now that we have techniques to separate design and content. Unfortunately, like some Web designers, many CMS developers have not adopted best practices and have created systems that produce horrendous code. This puts unreasonable constraints on the design and seriously impacts accessibility.

You need a content management system that allows flexibility in the way content is retrieved and presented. For example, can you retrieve news stories in reverse chronological order? Can you display events in a calendar? Is it possible to extract the most recent user comments and display them on the home page? Flexibility makes a CMS stand out.

Speaking of user comments, all forms of user interaction are worth mentioning.

6. User interaction

If you intend to gather user feedback, your CMS must provide that functionality or allow a third-party plug-in to provide it. Equally, if you want to host a community on your website, then you will require functionality such as chat, forums, comments and ratings.

At a minimum, you will need to be able to post forms and collect responses. How easy does the CMS make this process? Can you customize fields or does that require technical expertise? What about the results? Can you specify who they are emailed to? Can they be written to a database or outputted as an Excel document? Consider the kind of functionality you need and look for a CMS that supports it.

Also ask what tools exist for communicating with customers. Can you send email newsletters? Can recipients be organized into groups that receive different mailings? What about news feeds and RSS?

Finally, consider how you want to manage users. Do you need to be able to reset passwords, set permissions or export user information to other systems?

But user permissions are not the only things that need managing. You should also consider permissions for those editing the website.

7. Roles and permissions

As the number of content providers on your website increases, you will want more control over who can edit what. For example, one group may need to be able to post job advertisements but not add content to the home page. This requires a content management system that supports permissions. Although implementation varies, permissions normally allow you to specify whether users can edit certain pages or even entire sections of the website.

As the number of contributors grows still further, you may require one person to be able to review content being posted to ensure accuracy and consistency in tone. Alternatively, content may be inputted by a junior staff member who requires the approval of a more senior person before making it live.

In both cases, you'll need a CMS that supports multiple roles. This can be as simple as having one "Editor" and one "Approver" role, or more complex with customized roles and different levels of permission.

Finally, enterprise-level content management systems support entire workflows in which page updates have to go through a series of checkpoints before going live. These complex scenarios require the ability to roll back pages to previous versions.

8. Versioning

Being able to revert to a previous version of a page allows you to quickly recover if something is posted by accident.

Some content management systems have complex versioning functionality that allows you to roll back to a specific date. However, in most cases, this is overkill. The most common use of versioning is simply reverting to the last saved state.

Although this sounds like an indispensable feature, in my experience it is rarely used expect in complex workflow situations. That said, although versioning was once a enterprise-level tool, it is becoming available in more and more content management systems.

The same can be said of of multi-website support.

9. Multiple website support

With more content management systems allowing you to run multiple websites from the same installation, it is possible you may use this feature.

Although you may not currently need to be able to manage more than a single website, that could change. You may decide to launch a new website to target a narrower audience.

And with the growth of the mobile Web, you may want to create a separate website especially for mobile devices. Whatever the reason, having the flexibility to run multiple websites is important.

Another feature you might not require immediately but may in future is multilingual support.

10. Multilingual support

It is easy to dismiss support for multiple languages. Your website may specifically target the domestic market, or you may sell a language-specific product. But think twice before dismissing this functionality.

Even if your product is language-specific, that could change. It is important that your CMS be able to grow with your business and evolving requirements.

Also, just because you are targeting the domestic market doesn't mean you can ignore the issue of language. We live in a multicultural society in which numerous languages are spoken. Being able to accommodate these differences gives you a significant edge over the competition.

That said, do think through the ramifications first. Having the ability to add multiple languages doesn't mean you have the content for them. Too many of my clients have insisted on multilingual support and yet never used it because they neglected to consider how they were going to get their content translated or pay for it.

Tasks: Law offices use Outlook tools to create To Do items or packages for all lawyers and support staff assigned to a case or matter. Today's case management systems allow To Do management (also referred to as tasks, ticklers or critical date reminders) to be fully integrated with appointments, documents and other components of the system. With Outlook Integration, law offices have the have the ability to manage To Do items for individual, group, practice area or firm-wide reporting.

Piecemeal vs. the Real Deal

An all too common scenario still seen in some law firms today is the insistence to forego a CMS in favor of an inadequate combination of Outlook, Word and a document management application. Such a system leaves too many holes in the process.
